Believe it or not the holidays are just about here and for retailers that depend on these last three months to make up for the loses experienced during the last nine, it’s now or never. With the state of the market these days if you are company that makes their living off of the leads gathered from trade shows, then you need to be sure that you treat each event as a learning experience. Regardless of whether or not you’ve been to only a couple of shows or two hundred, everyone has something to learn and every vendor has something to teach. To this end today we are going to discuss the importance of a trade show packet and some of the things you can do at your next event that might help you down the road.
Simply put a trade show packet is a series of observations that require you to pay attention to not only how you did, but how other vendors faired. Before you can get started though make sure that you’ve got away to keep the notes so that you can review them from time to time; the last thing you want is to be stuck jotting a bunch of random thoughts down on a bunch of scrap paper.
What worked for you? To say that a trade show can be hectic at times is definitely an understatement. We all know what it’s like when you are slammed and how things can turn around at the drop of a hat. Once you have a moment to catch your breath though, look around your booth and see what all the fuss was about. Did you sell out of anything? Was there a specific style you ran out of first or that people were asking about? Was your display set up to handle traffic accordingly or could you have setup a different way. Did you get any compliments on your exhibit?
What didn’t work for you? Every presentation has its flaws. Even the most customized of displays can miss if the way you present it is wrong. Delivery is just as important as any popup display, portable signage, or custom logo you surround yourself with. If you come across as rude, arrogant, or uncaring all that attention that your exhibit brought will quickly go the other way. In the same respect if you’re not clear and to the point as to what it is you are offering, those that visit your booth may not stick around to find out. A custom display will bring the crowd to you, but it’s your job to keep them there.
What did other vendors do? You shouldn’t have to look too far to see what other vendors at the show are doing. Take a walk and make a few mental notes as to what others are doing. Is anyone using games such as a money booth, Frisbee toss, or Plinko that are attracting a lot of attention? Maybe someone is getting a good response from a photo prop. Whatever the other guys are doing compare that to your own display and see who you think comes out on top. Maybe there are things that other vendors did well that may fit in nicely with your style or maybe you will see some things you are doing also which could be turning customers away.
A trade show packet is kind of like an exit interview you conduct with yourself. Take some time to really think about what happened during your trip, what your impressions were of the event as a whole, and what you might do differently your next time out.

We talk a lot here about grand exhibits, large fabric walls, and eco-friendly displays, but not all trade show displays are what they seem. When getting ready for a trade show there are a ton of things you can do in advance to make sure that you have a successful event. Of course you can make sure you have the best custom exhibit possible. You can find out who’s going to be there and what they will be interested is seeing. You can make sure who you have working the booth is up on all the facts and are able to answer any questions about your product that may arise. You can even create an elaborate demonstration of how your product works. The one thing you can’t control though is where you are located once you get to the conference center. Yes you can suggest or recommend to the event organizer where you would like to be, but ultimately it’s their decision as to where you are to setup and unfortunately not everyone can have the best seat in the house. So what do you do when you get to a trade show only to find that your setup location is far less than desirable?
Take a walk. After you have everything setup and ready to go, leave the display with your help for a while and start shaking hands. Make sure you are wearing something that contains your brand name. If you know somebody there stop by and say hello. Tell them where you are and ask them to send people your way. Just by walking around and greeting as many people as possible you are creating buzz for your display.
Make people look for you. If you didn’t bring any with you, draw up a few signs on poster board advertising that you are there and where you can be found. If you own a truck or van with your name and logo on it, make sure you park it near the main entrance where people can see it as they enter the building.
Speak to the organizer. You make think they understand what you need, but in fact the organizer of the event may not have any idea that they have setup up somewhere that is unfavorable. While you are out meeting and greeting scout out a couple new locations and don’t be afraid to approach the person in charge with your ideas about where you might be best suited. The thing here to remember is that those hosting the event get a percentage of all sales, therefore the more people walking past your display means higher sales for you and a higher profit for them.
You have the most best custom display in the world but when it comes to being put in a bad location with zero traffic, you have to take matters in your own hands and make the people come to you. By making your presence known among the visitors, asking for a few favors from friends who might be able to send people your way, putting up some extra signage, and reminding the host of the event that you are there to make them money, you just might be able to turn a bad spot into a great opportunity.

It’s another one of those weeks where if you’re a sports fan there is something happening every moment of the day. The NBA finals are finally getting interesting with the Celtics forcing a game seven with the Lakers. Tiger Woods is out to prove what he hasn’t so far this season at the U.S. Open teeing off this Thursday and that’s the thought that he’s still the same golfer he was before his recent struggles kept him away from the game. All of baseball fandom is hanging on Stephen Strasburg’s every pitch and for the first time in forever the Nationals are must see TV. Not to be out done football is proving it’s America’s number sport even in the off season as rumors run rampant that the Big 12 will soon cease to exist. Last, but certainly not least, the entire planet has their hands all over the World Cup as soccer is putting South Africa front and center in everyone’s minds eye. Meanwhile even as I type this all across the country trade show vendors are taking advantage of these events by getting their message and products to the public via game displays.

Last week in a post titled “The Right Person For The Job” I talked about how something as tantalizing as Fillet Mignon would appear to be plain trash if it were to be served to you on a garbage can lid. Now in that post I was using this example as way to make sure you are employing people who have a certain degree of charm and personality, but the same can be said about how you choose to show off your product as well. You could essentially have one of those products that becomes synonymous with a entire line of products from any number of manufacturers (Coke, TiVo, and Matchbox Cars are examples of this), but because you did not choose the best way to promote your idea nobody ever takes notice. It’s those early decisions about how you will choose to bring your product to the consumer that make all the difference in the world.
Understandably this isn’t an easy process and not something to jump into. You want to start with a very broad idea of what you want and then begin to eliminate choices. Is your event outside? Do you need something like a large tent or would a smaller Mushroom style kiosk do the trick? Are you looking for something that can easily be packed up and taken to the next location or does portability not matter? Maybe you are just looking to spice up your office front. Will there be some type of attendant with a desk stationed there? Is privacy going to be a concern? How about signage? It’s amazing how fast the days fly by. It seems like we just wrapped up the Christmas holidays and yet here we are again exactly one month away from the first official day of summer. All across the country spring is in full bloom and the temps are climbing. With the warm weather comes an endless string of outdoor concerts, fairs, and trade shows. Every weekend brings with it new opportunities to get outside and soak up some local flavor while hanging out at a nearby festival. As much as I like the main attractions at these events, my favorite parts are all the interesting booths and displays to be seen. Whether it be the wide variety of foods ranging from fried Oreos to homemade lemonade or the vendors with all of their freebies or the tents showing off the trendiest cars straight from the local dealership; it’s these types of attractions that give the event the color and flavor that brings a smile to every one’s face.

A couple weeks back I brought you the article about the importance of making a good first impression. Simply put that first meeting often holds the key to finding out what a customer ‘s needs are and what it will take to convince them that you have the product they have been searching for. Ask any trade or conference show vet and I’m sure they will tell you it’s not the sales you make that weekend that matter the most, it’s all the contacts that are gathered which provide the true test as to whether or not the time spent standing at your booth was a success. So the question becomes once you’ve made that first impression how do you turn all those names and faces into dollars in the weeks and months to come?
First of all make sure your booth or kiosk is a two way street of information. Yes your most important task is to show who you are and how what you are offering is the life change thing that the everyone in the world would be crazy to live without, but while shaking all those hands make sure you come back with a phone number, an email address, or even a business card. Grab a spiral notebook on your way out the door and ask everyone the stops by your booth (even just for a few moments) to sign their name and how they prefer to be reached. Offer them a chance at possible future discounts by doing so.
Second don’t let the grass grow under your feet when comes to reaching out to those you met. A week or two after the show get that spiral notebook back out and let those that spent a moment filling out their information know how much you appreciated their time. If they act like they want to know more about your company great, but even if that call or email doesn’t generate a response don’t give up. Keep in touch with them on a regular basis. Not to say you need to call them weekly, but just enough so that when the time comes where they find themselves in the market for what you have to offer your name is still fresh in their minds. Send them cards during the holidays or special offers every month or so.
Making the first impression is something that can never be made twice, but keeping that same spark alive is a process that can be created over and over. By following up with potential customers you are doing exactly what the term implies; you are maintaining the relationship so that they remain potential customers.
